Getting started
Create meeting notes from a recording
Last updated October 1, 2026
Create a first meeting report from an audio or video recording. Audiogest makes a transcript, then uses your instructions to prepare decisions, action items and open questions.
Record with the required permission. Check the finished notes before sharing them. For an example of what to include, read the AI meeting notes guide.
1. Save instructions for your meeting notes
Open Prompts.
Click Create your first prompt, or New Prompt if you already have saved instructions.
Enter Meeting notes in Name.
Copy the instructions below into Prompt. Change the language or headings if needed.
Click Create prompt.
Create concise meeting notes in English from this transcript.
Use these headings: Purpose, Decisions, Action items, Open questions.
Include only information supported by the transcript. Keep proposals separate from confirmed decisions.
For each action, include the responsible person and deadline if stated. Write “Not stated” for missing details. Do not assign work based only on who mentioned it.
Preserve conditions attached to agreements. Do not invent names, dates, commitments or quotes.
Add time marks for important decisions and actions only when the transcript provides them.
2. Upload the recording and choose your instructions
Open Upload file and select your recording.
Under File options, open Generate and choose Meeting notes, or the name you saved.
Check the spoken language and speaker settings. Use a dictionary or one-time terms for names that need help with recognition.
Check your available credits and click Create transcript.
Keep the upload page open while it asks you to wait. When processing finishes, open the file and select Document to read the notes.
Audiogest creates the transcript first, then the document. If you select several recordings, these instructions apply to each file separately; they do not create a combined report.
For file limits and the other upload options, see how to get a transcript.
Already have a completed transcript?
Open the file and select Document.
If no document exists, click Choose a prompt.
Select your saved meeting notes instructions and click Generate document.
Creating a new version of an existing document requires a subscription, except when retrying a failed document. Changing saved instructions does not change documents you already created. See create and use custom instructions for more details.
Example of the expected structure
This short example is fictional, not an actual AI result:
Purpose: agree the next steps for the help page.
Decision: publish the page on 12 October.
Action item: Leo will send the revised text by 9 October.
Open question: who will publish the page? Not stated.
3. Review, edit and share the notes
Use Transcript to read the source text and play the recording. Check names, dates, numbers and speaker labels.
Confirm that decisions were agreed and that the named people accepted their tasks.
Keep missing details visible. Ask participants to confirm them rather than guessing.
Edit the document before sharing. Use Export to download it or Share to create a link.
Check who will be able to access a shared link. Follow your organisation's rules for sensitive information and recording retention.
If the notes miss information
The information is in the recording but not the transcript: correct the relevant transcript passage before creating another document.
The transcript contains it but the notes omit it: make your instructions more specific and create another document, subject to the subscription requirement above.
Nobody stated the owner or deadline: leave it as missing and ask for confirmation.
Need only the follow-up tasks? Use the action items instructions.
